How do I log an employee's unavailability? (Desktop)

It's surprising how often employees aren't available but don't really qualify for taking leave. Maybe they need to do the school run every morning, or they have a standing arrangement to take their father to the doctors on a Tuesday afternoon. Whatever the reason, it's easier to log the details in one central place than to try to cross-reference sticky notes when you're planning shifts. Thankfully, we have just the solution.


  1. Head over to the team page by clicking on the 'Team' icon on the left of your screen, then select the Leave tab.
  2. Click the 'Add Time Off' button in the top right of the screen and select 'Add Unavailability'.
  3. In the resulting form, select the employee from the Employee dropdown.
  4. Choose whether the unavailability will be a one-off or if it'll recur regularly.
    1. If the unavailability will recur you can choose when the recurrence will run from and until, and which days of the week it will fall on
  5. Next, choose whether the employee will be unavailable for the entire day or just part of it.
    1. For all-day unavailability, you'll need to choose the dates that the period of unavailability starts and ends on. If the employee will only be unavailable for a single day the end date should be the same as the start date.
    2.  For part-day unavailability, you'll need to choose the times when the employee is unavailable within the day as well.
  6. Add any relevant comments about the unavailability.
  7. Click 'Add Unavailability' to save. The calendar will update to show the employee as unavailable for the set days or times, and they will not be suggested for any shifts during that period.
